Our goal is simple: to deliver an Aestra experience that meets our standards for quality, realism and exploration. Every project is carefully captured, processed and reviewed before delivery to ensure the experience represents your space at its best.

Our commitment to quality

We take pride in every experience we create.

In the rare event that a capture does not meet our quality standards, our team will assess the project and determine the best solution — whether through additional optimization, targeted recapture or an alternative capture approach.

Our priority is always the same: finding the right path to deliver an experience that meets the Aestra standard.

If we wouldn’t proudly put the Aestra name on it, we don’t deliver it.

If it doesn’t meet our standards, we don’t deliver it.

Every Digital Twin is reviewed by Aestra before final delivery.

Following capture and processing, we evaluate the overall visual quality, coverage and experience to make sure the result meets our standards.
 

If a capture does not meet those standards, we may:

Reprocess or optimize the existing capture
We’ll first determine whether the result can be improved through processing or optimization.

Recapture affected areas
When reasonably possible, we’ll return to recapture areas that did not produce an acceptable result.

Recommend an alternative approach
Some environments may require a different capture method or combination of technologies.

Cancel the affected service
If we determine that an acceptable Digital Twin cannot reasonably be produced, the affected Digital Twin service may be cancelled and any applicable refund or credit will be determined according to the project agreement.
 

Our objective is never to deliver an experience simply because the capture has already been completed.

Great Digital Twins start with great capture conditions.

Digital Twins are reconstructed from real environments, and certain conditions can influence the final result.
 

These may include:

  • Low or highly uneven lighting

  • Strong direct sunlight or rapidly changing light

  • Mirrors and highly reflective surfaces

  • Glass and transparent objects

  • Moving people, vehicles or equipment

  • Moving vegetation

  • Restricted or inaccessible areas

  • Repetitive or visually featureless environments

  • Weather conditions

  • Changes to the environment during capture
     

Minor visual artifacts may naturally occur in reconstructed 3D environments and do not necessarily indicate a defective capture.

When a space presents unusual challenges, Aestra may recommend adjustments to the capture plan or additional capture methods.

A little preparation makes a big difference.

Before your scheduled capture, we may provide preparation instructions based on your environment.
 

Whenever applicable, we recommend:

  • Ensuring adequate and consistent lighting

  • Minimizing movement throughout the space

  • Opening rooms and areas that need to be captured

  • Removing confidential or sensitive information

  • Preparing the space as you would like it to appear in the final experience

  • Informing us in advance of inaccessible or restricted areas

  • Following any project-specific preparation instructions provided by Aestra
     

The Digital Twin represents the environment as it exists during capture. Unless otherwise agreed, staging, cleaning, object removal and physical preparation of the space remain the client’s responsibility.

We’ll determine why before determining who pays.
 

If the original capture does not meet Aestra’s quality standards because of our capture or processing, a reasonable corrective recapture will be performed at no additional capture charge whenever reasonably possible.
 

Additional charges may apply when a recapture is required because:
 

  • The space was not prepared according to agreed instructions

  • Required areas were inaccessible

  • Conditions were materially different from those communicated before the appointment

  • Significant movement or activity could not be controlled

  • The client requests changes to the physical environment after the original capture

  • The client requests additional areas or scenes that were not included in the original scope
     

Any additional cost will be communicated before additional work is performed.

Your capture and the Aestra experience are two different things.
 

Aestra separates the Digital Twin created from your space from the proprietary technology used to deliver the interactive online experience.

Your project agreement will specify the deliverables included with your project and the rights granted to you for those deliverables.

Where an exportable Digital Twin file is included or purchased as part of the project, it can be provided in the available delivery format subject to the terms of the project agreement.
 

Aestra retains ownership of its proprietary technology, including AestraStudio, its viewer, interfaces, software, tools, systems and related platform technology.

Your rights to the captured content and Aestra’s technology are therefore clearly distinguished.

Keep it live only for as long as you need it.
 

Your interactive Aestra experience is hosted through Aestra’s online infrastructure.

Your initial hosting period will be identified in your proposal or project agreement.

After that period, you may choose to keep the experience live under the applicable monthly or annual hosting plan.
 

When hosting ends, the public experience may be taken offline. Ending hosting does not transfer ownership of Aestra’s platform, viewer or proprietary technology.

Depending on the project and applicable retention policy, the Digital Twin may remain archived for a defined period and may be eligible for future reactivation.

Understand how your experience is being used.

While an eligible Aestra experience is live, engagement analytics may be collected to help measure how visitors interact with the Digital Twin.
 

Depending on the experience, analytics may include information such as:

  • Visits and sessions

  • Engagement time

  • Scene activity

  • Hotspot interactions

  • Saved-view or camera interactions

  • AI Vision usage

  • Device or platform information

  • General geographic information
     

Available metrics may vary by project, platform configuration and privacy requirements.

Analytics are intended to provide engagement insights and should not be interpreted as guarantees of sales, bookings, conversions or other business outcomes.

Your initial experience is built with you.

The initial creation of your Aestra experience includes the content, configuration and revision allowance identified in your proposal.

Once the initial experience has been approved, future modifications may be billed separately.
 

These may include changes to:

  • Hotspots

  • Text and descriptions

  • Photos or videos

  • Documents

  • Links and calls to action

  • Scenes and saved views

  • Branding

  • Contact information

  • Other interactive content
     

We will communicate any applicable cost before completing billable modifications.

Clients with eligible AestraStudio access may be able to manage certain supported content directly according to their subscription and permissions.

You are responsible for ensuring that you have the necessary rights and permissions for content you ask us to publish within your experience, including logos, photographs, videos, documents, music, trademarks and other third-party materials.

Aestra may decline to publish content that appears unlawful, infringing, harmful or technically unsuitable.

AI Vision is for visualization.

When AI Vision is available within an experience, generated images are visual interpretations created using artificial intelligence.

AI-generated results may contain inaccuracies, altered dimensions, unexpected objects or other differences from the actual environment.

AI Vision should therefore be treated as a visualization and ideation tool — not as an architectural, engineering, construction or dimensional representation of what can actually be built or achieved.

Unless a project explicitly includes a deliverable with a specified accuracy standard, the Digital Twin is intended primarily as a visual and interactive representation of the captured environment.

Visual scale, measurements or spatial relationships observed within the experience should not be relied upon for construction, engineering, surveying or other applications requiring certified dimensional accuracy.

Any specialized survey, measurement or technical deliverable will be clearly identified separately in the project scope.

If it’s visible during capture, it may appear in the Digital Twin.

Before capture, clients should remove or conceal information they do not want represented digitally.
 

This may include:

  • Personal photographs

  • Computer screens

  • Documents

  • Access codes

  • License plates

  • Personal information

  • Confidential business information

  • Security-sensitive information
     

If sensitive information is identified after processing, contact us as soon as possible. We’ll determine whether it can reasonably be removed, obscured or corrected.

Outdoor capture depends on suitable environmental conditions.

Aestra may postpone or reschedule exterior work when rain, snow, wind, lighting or other conditions could materially affect capture quality, equipment safety or the final result.

A weather-related rescheduling initiated by Aestra for quality or safety reasons will not be treated as a client cancellation.

Photography, video, aerial media, floor plans and other optional deliverables may be added to eligible projects.

Each additional service may have its own scope, delivery format, revision allowance, usage rights and quality requirements, which will be identified in the applicable proposal.
